Job description

As an Information and Assurance Coordination and Vetting Officer, you will play a key role in providing vital support to the Chief Data Officer (CDO) and the Senior Leadership Team in our Information Assurance and Governance team (IAG). We are responsible for the assurance of DVLA’s data processes. Your role will be central within the IAG, ensuring our processes run smoothly.

This is a busy, varied and challenging role within a fast-paced environment, providing a range of opportunities for personal and professional development. This includes the opportunity to build a network of senior stakeholders, as well as providing insight into how strategic decisions at senior levels are made.

You will work across various functions such as budget, business continuity, vetting processes and applications, coordinating support to the CDO and provide general support to the wider IAG Senior Leadership Team. You will also have the opportunity to work on a range of interesting projects led by senior colleagues.

Your role will be to ensure that the CDO is appropriately briefed on key topics, and that the key tasks and objectives of the group are being progressed appropriately. You will be responsible for the effective and efficient management of the CDO’s workload and communications, ensuring you proactively manage any conflicting demands and that deadlines are met.

You will be responsible for management of Vetting applications including tracking the developments and changes to vetting standards to ensure compliance with those standards. You will also manage the IAG’s Reward and Recognition process.

Responsibilities 

Your responsibilities will include but will not be limited to:

  • To act as first point of contact for Chief Data Officer (CDO)/IAG from SMT, DfT officials, Data Governance Board and internal and external stakeholders.
  • To manage and control the CDO’s workload. Taking decisions on routing of correspondence and monitoring progress ensuring that deadlines are met, and that slippage is highlighted.
  • To manage the vetting and security clearance process, including dealing with queries from staff and contractors, providing support to business areas throughout the process.
  • To coordinate any requests for IAG assistance and data for special exercises from across the business.

Additional Information

This role will be based in Swansea, and we will be operating a hybrid working model that allows you to work between home and on-site giving you greater flexibility about where and when you work, subject to business needs and this also allows for ongoing support, development, and collaboration with colleagues.

Therefore, the expectation is that you will spend a minimum of 60% of your working time based at your principal workplace (DVLA). We would encourage you to discuss the working arrangements for this role with us during the recruitment process.

  • We are looking for someone who has excellent communication skills and can express themselves in a confident and concise manner with internal and external colleagues at all levels.
  • You will be able to answer queries and explain our service and processes, adapting your communication style as appropriate to ensure understanding, clarity and accuracy.
  • You will represent and manage the reputation of the unit and agency, so must be able to maintain a consistent professional communication style and work ethic.
  • You will have an understanding of Data Protection, Vetting and Compliance processes and an understanding of the project lifecycle.
  • You can handle sensitive and confidential information appropriately and work within policies and legislation to ensure compliance and integrity is maintained at all times.
  • You will be adaptable and flexible, adjusting to the requirements of this interesting role.
  • You will demonstrate the ability to effectively plan and organise your workload, manage a busy schedule and monitor progress, and have the initiative to resolve issues efficiently.
  • You are resilient and can manage several tasks at the same time, while adapting to ever changing, conflicting demands and priorities.
  • You will have a “can do” attitude with the ability to work under pressure and a willingness and eagerness to learn more about the team and wider group/directorate.
