This role provides administrative and coordination support to the Health and Safety function, ensuring records, systems, and compliance activities are accurately maintained and monitored. The postholder will manage data, communications, training records, and risk assessment tracking, while supporting governance, assurance, and emergency preparedness activities. Working closely with stakeholders across the organisation, the role contributes to maintaining a safe, compliant, and well-controlled working environment through effective organisation, reporting, and coordination and monitoring of health and safety activities.
Top Responsibilities
- Administration and Records Management – Maintain accurate and well-organised health and safety records, support document control and audit readiness, and ensure filing systems enable efficient access to information and support governance requirements.
- Systems and Data Management – Administer and maintain health and safety systems and trackers, ensuring data is accurate, up to date, and escalated where required, while producing reports to support management oversight and decision-making.
- Communications and Mailbox Management – Monitor and manage shared mailboxes, coordinate communications between stakeholders, and ensure queries and actions are accurately logged, tracked, and progressed to completion within agreed timescales.
- Training and Compliance Coordination – Allocate and monitor mandatory health and safety training, maintain accurate compliance records, and escalate overdue or non-compliant training to line managers to ensure audit readiness and regulatory compliance.

About You
To be successful in this role you will need to have the following experience:
- Experience of managing and maintaining accurate records, documentation, and filing systems, ensuring information is well organised, accessible, and supports compliance, governance, and audit requirements.
- Experience of using systems, databases, or trackers to maintain accurate data and produce reports, with the ability to monitor information, identify issues, and escalate concerns appropriately.
- Experience of coordinating communications and working with a range of stakeholders, including managing enquiries, tracking actions, and ensuring requests are progressed and resolved within agreed timescales.
- Experience of supporting compliance, assurance, or operational processes, such as training administration, risk assessments, monitoring actions, or maintaining records to demonstrate adherence to organisational and regulatory requirements.
