As a Personal Assistant, you will play a key role in providing vital support to the Head of Group (HoG) and the Senior Leadership Team in our Drivers Medical Group (DMG).

This is a varied and challenging role within a fast-paced, environment, providing a range of opportunities for personal and professional development. This includes the opportunity to build a network of senior stakeholders, as well as providing insight into how the Group makes strategic decisions at senior levels.

Your role will be to ensure that the HoG is appropriately briefed on key topics, and that the key tasks and objectives of the Group are being progressed appropriately. You will be responsible for the effective and efficient management of the HoG’s diary, ensuring you proactively manage any conflicting demands.

You will be involved in collaboration across the Group and will be required to provide general support to the wider DMG Senior Leadership Team.

You will be able to demonstrate the ability to effectively plan and organise your workload and have the initiative to resolve issues quickly in an appropriate manner. The role requires exceptionally good organisation skills and attention to detail. You will have the ability to remain calm under pressure, be discreet in the handling of confidential information and have the capability to lead a heavy and varied workload, while dealing with conflicting demands.

Responsibilities

Your responsibilities will include but will not be limited to:

  • Co-ordinating the risk register for DM, covering anything that could be a risk to operations, financial and maintenance, liaising with the HoG, HoUs and SEOs and the business continuity team to flag any potential issues/threats.
  • Managing, controlling and prioritising the HoG’s inbox, taking decisions on routing of correspondence and monitoring progress to ensure that deadlines are met.
  • Effective and efficient management of HoG diary, ensuring the right balance between meetings, allocating sufficient time in advance of meeting for preparation. Arranging for all necessary briefing notes and documentation to be available to the HoG prior to meetings.
  • Co-ordinating any DM wide responses for data and information on special exercises, e.g. requests for DM information for HR, Estates, etc. Ensure that the HoG are appropriately briefed on the priority tasks and that they are being progressed appropriately by the relevant area.

Occasional travel (monthly) will be required to our Birmingham office, however you will be notified in advance.

Person specification

We are looking for someone who has excellent communication skills and can express themselves in a confident and concise manner with colleagues at all levels.

You will be exceptionally organised and demonstrate good judgement and time management to prioritise urgent requests and monitor progress. You will be adaptable and flexible, adjusting to the requirements of this interesting role.

You will have a calm and professional manner with the ability to carry out several tasks at the same time and adapt to ever changing demands and priorities. You will have a “can do” attitude and a willingness and eagerness to learn more about the team and wider Group/Directorate.
