Job description

The Maritime and Coastguard Agency (MCA) is the largest operator of aviation in Government outside of the Ministry of Defence, operating 30 aircraft provided under various contracts. It spends over £4m every week on its helicopters, fixed wing aircraft and unmanned aircraft systems to save lives and protect the marine environment. Over 300 pilots, engineers, and support crew form the backbone of these aviation services. The MCA’s Aviation Branch is responsible and accountable for these services.

The MCA’s Aviation Branch sits within the Commercial and Programmes Directorate, which is responsible for all major MCA programmes with a value of over £20m.

The post holder will support the Aviation Contract Management Team with the administrative, fiscal and data management of all MCA aviation contracts. This will include, but will not be limited to, verifying flying activity and supplier performance to support the payment of invoices, generating invoices for stakeholders for the use of the MCA’s aviation services and the collation and analysis of data relating to flying activity.

It is a fast paced role where you will have the opportunity to meet and build lasting relationships with stakeholders at all levels as well as involvement in high profile activity.

This role will be based in the Southampton HQ. MCA supports flexible working and operates a hybrid working model between home and office for this role, giving you greater flexibility over where and when you work. Details of the arrangement will be discussed further with your line manager.

Responsibilities

Your responsibilities include but are not limited to:

  • Accounts Payable – Verify activity and supply performance to ensure this accurately reflects invoices.
  • Accounts Receivable – Verification of stakeholder use of MCA aviation services, Creation of invoices associated with stakeholder activity, and monitoring payment of customer invoices.
  • Data Management – Be responsible for the collection, collation, analysis and recording of data in respect of the MCA’s aviation services.
  • Administrative Support – Contribute to monthly board reports, support for regular contract management meetings, and management of branch records.

About You

To thrive in this role, you will have experience or have worked in a similar role with an administrative, financial or data management/statistical focus.

You will have an in-depth working knowledge of Microsoft Excel, being able to confidently and comfortably use its varying features i.e. formulas, data sorting, conditional formatting etc.

A strength of yours will be your excellent communication, negotiating and influencing skills when dealing with a range of stakeholders, including internal, external and non-financial customers.

You would be described as a diligent person, happy to concentrate on your work and do a thorough job even when under pressure and can carry out your duties with minimum supervision as well as manage a varied workload.
