The Role

To perform the day to day activities required to ensure that client documentation suite is of the highest quality and up to date.

 

Outcomes of the Role

  • Acknowledge and appropriately prioritise ad-hoc changes or requests for new documents from request through to delivery.  In accordance with established procedures, take responsibility for administering changes, creating new documents and liaising with stakeholders to ensure accurate and timely delivery.
  • Highlight to line manager any potential issues which arise as a result of requested changes or the introduction of new documents which could impact on business teams suggesting potential resolutions where possible.
  • Estimate how long any change request will take to complete and identify, document and communicate when changes to one document affect other documents in the client account documentation suite taking appropriate action to ensure consistency of any change across the suite.  Ensure that any updates across the suite are coordinated and that the actions of others involved in the process are followed through in a timely manner or escalated where necessary.
  • Schedule and manage workloads in line with agreed priorities and ensure the expectations of business sponsors for change are effectively managed and positively communicated.
  • Primary responsibility for proof reading, comparison of documents and undertaking quality control of relevant documentation ensuring high standards of accuracy and consistency.
  • In line with regulatory requirements and best practice, ensure that all artwork changes are properly version controlled so that the history of any change is recorded and can be referenced at a later date if required.
  • Administer the sign-off process for all client documents.
  • Maintain WIP spreadsheet by regularly updating with current status of change request

Knowledge, Skills and Experience

  • Likely to possess good academic/professional qualifications
  • Experience of a busy commercial, office environment, preferably including financial services experience
  • Excellent attention to detail and accuracy
  • Must be able to maintain concentration whilst proofing and checking of documents
  • Self starter with good organisational and time management skills
  • PC literate and strong numeracy ability
  • Strong Microsoft Office skills essential
  • Experience of Acrobat Writer a distinct advantage
  • Ability to communicate well with staff at all levels – by phone, email and in person
